CHEMEXCIL is organizing the India–USA Essential Oil Buyer–Seller Meet on 8–9 October 2026 in New York, USA.

This exclusive, India-focused B2B platform will enable Indian essential oil manufacturers and exporters to connect directly with qualified U.S. buyers, importers, distributors, fragrance and flavour companies, cosmetic and personal-care brands, nutraceutical companies, ingredient manufacturers, formulators, and other prospective trade partners.

The Meet offers participating exporters an excellent opportunity to explore business collaborations, establish valuable market linkages, and expand their presence in the U.S. market.

The United States represents one of the world's largest and most attractive markets for essential oils, natural extracts, botanical ingredients, aroma ingredients and allied products. The above event has been approved under the Market Access Support (MAS) Scheme of the Ministry of Commerce & Industry, Government of India for the year 2026–27.

PARTICIPATION GUIDELINES:

MAI / MAS Grant and Participation Guidelines

  1. Assistance under the Market Access Support (MAS) Scheme will be available to eligible participating companies as per the approved guidelines of the Ministry of Commerce & Industry, Government of India.
  2. Reimbursement of participation charges will be processed only after receipt of the required funds from the Ministry of Commerce.
  3. Participating companies must submit a valid Udyam Registration Certificate (MSME Certificate).
  4. Airfare reimbursement under the MAS Scheme will be provided only to the first 65 eligible participants on a first-payment, first-allocation basis.
  5. Airfare reimbursement will be available only to exporting companies (participating companies) and will be restricted to Economy Class airfare only.
  6. Companies that have participated in three international events through CHEMEXCIL during the financial year 2026–27 under the MAS Scheme will not be eligible for any further assistance under the MAS Scheme.
  7. Members must possess a valid Importer Exporter Code (IEC) that is not suspended or cancelled.
  8. Members must have completed a minimum of six (6) months of membership with CHEMEXCIL.
  9. Participating companies must create their company profile under the "Source from India" section on the Trade Portal (https://trade.gov.in) to avail support under the Export Promotion Mission (EPM) Scheme.
  10. Submission of post-event feedback online is mandatory for all participating companies. Failure to submit the feedback may affect eligibility for future assistance.
  11. Members must regularly file their export returns with CHEMEXCIL.
  12. Airfare reimbursement will be applicable only for the Director, Partner, Proprietor, or a regular employee holding a senior managerial position in the participating company.

  • Participating companies must create their company profile under the "Source from India" section on the Trade Portal (https://trade.gov.in) to avail support for airfare reimbursement under the Export Promotion Mission (EPM) Scheme.
  • Airfare claim forms, along with all supporting documents, must be submitted within five (5) days after completion of the event through the Trade Connect Portal. Claims received after the prescribed deadline will not be considered for reimbursement.
  • Companies having DEL Status (as per DGFT guidelines) will not be eligible to participate under the MAS Scheme.
  • After completion of the event, participants must submit the Outcome Report either at the venue or within five (5) days after the event. The prescribed format will be provided by CHEMEXCIL at the venue or through email.
  • CHEMEXCIL will issue a Visa Recommendation Letter after completion of the registration process and receipt of the required payment details.
  • Participating companies must submit scanned copies of the following documents of the representative attending the BSM for processing the Visa Recommendation Letter:

              Passport copy

       Company name, representative's name, and designation

  • In the event that the minimum required number of participants is not achieved, CHEMEXCIL reserves the right to withdraw its participation from the BSM. Participants are therefore advised not to book air tickets or hotel accommodation until confirmation is received from CHEMEXCIL.
  • Membership fees for the financial year 2026–27 must be paid in full to be eligible to participate in the BSM.

CANCELLATION GUIDELINES

  No refund in case of following conditions:

·         Any cancellation from Participating Indian company

·         If payment is processed to respective vendors by council

·         If visa rejected

Full Refund will be initiated if the council withdraws to participate in the event due to any unforeseen circumstances.

Member companies interested to participate in the event are requested to send their full payment confirmation along with the mandatory forms and company profiles in the requested format (enclosed) on shobha@chemexcil.in
