Dear Sir/Madam,

The council has proposed to organize an India Pavilion at KHIMIA 2025 as scheduled to be held at Timiryazev Center, Hall 16, Moscow, Russia during 10-13th November, 2025.

The subject event is under consideration for approval under the Market Access Initiative (MAI) Scheme of the Ministry of Commerce & Industry, Government of India for the year 2025-26.

The Khimia international exhibition was first launched in Moscow in 1965 to become one of the most prestigious chemical trade shows.

Khimia is a meeting place for chemical manufacturers, service providers, suppliers of the latest equipment, materials and technologies, and consumers from all over the world. According to industry experts, Khimia has a great impact on development of the chemical, petrochemical and other industries, and promotes ties between Russian and foreign companies. It is expected that around 15000+ business delegates from 50 nations will visit the exhibition.

PARTICIPATION COST (NON-SUBSIDISED RATE):

India Pavilion: Council offers independent stalls of 6 sq mtr each in India Pavilion, cost of which are as follows:

PARTICIPATION GUIDELINES:

MAI Grant

Ø The MAI scheme will be applicable only upon approval of the event by the Ministry. If the event is not approved, participation will be considered as private and no reimbursement will be provided.

Ø MAI grant in terms of Airfare will be available only to eligible 20 no. of exhibitors on a first come (Payment) first served (Allocation) basis for KHIMIA 2025.

Ø The stall/space charges mentioned are non subsidized hence reimbursement of stall will be done to exhibitors if event is approved and fund received from Ministry of Commerce.

Ø Eligible members will get the subsidized stall/space charges for an area of 6 sqm. (Even though they book a bigger stall size) considering high participation cost for the subject event.

AIR FARE

Ø Reimbursement of airfare (is only eligible for economy class) to exporting companies (Exhibiting Companies) with an f.o.b. value of exports below Rs. 50 crore in the preceding financial year.

Ø Companies having NIL export turnover will also be eligible for 50 % airfare reimbursement subject to minimum turnover (domestic sales) of INR 50 Lakh in the preceding financial year. (Allowed only to 10% of total number of participants i.e 2 companies for this event)

Ø Companies that have participated THRICE in this fair will not be eligible for subsidized stall rates/reimbursement of airfare.

Ø Companies who participated in three events through CHEMEXCIL in the same financial year (2025-26) under the MAI scheme will not be eligible for MAI grant.

Ø Members should have completed 12 months of Membership of the council

Ø Regularly filing Export returns with the council

Ø Airfare will be permissible only to the Regular Director / Partner/Proprietor or a regular officer of the company in a senior managerial position.

Ø Air fare Claim forms duly filled in and complete in all respects must be submitted to the council within 45 days. If not submitted, airfare will not be reimbursed to those Member companies.

Ø The Airfare Reimbursement will be done after the finalization of Accounts in the Ministry & Subject to receipt of funds from the Department.

 GENERAL

Ø A company having DEL STATUS (as per DGFT) is not eligible for participation under the MAI scheme.

Ø Once the event is over exhibitors must submit the outcome report on site or within 5 days. Format will be provided by Chemexcil on-site or by email.

Ø Chemexcil will issue a visa recommendation letter as soon as you complete and submit the payment details.

Ø Company should send the scan copy of the passport photograph of the person along with his designation who is attending this event. It is mandatory to submit a scanned copy of the passport photo.

Ø In case of a shortage of participation no. of exhibitors, the council will not participate in the exhibition hence before booking air tickets and hotel accommodation consult the council.

Ø Standard Stall (6 sq.mt.) only on a subsidized rate for one member exporter, for any additional stall requirement the charges applicable will be non-subsidized rates.

Ø Extra space/stall will be allocated only after allotment of Chemexcil pavilion after discussing with organizer.

STALL/SPACE CANCELLATION

No refund in case of following conditions:

·        Any cancellation from Participating Indian company

·        If payment is processed to respective vendors by council

·        If the organizer changes the floor plan/space at the last moment.

·        If visa rejected

Full Refund will be initiated if the council withdraws to participate in the event due to any unforeseen circumstances.

Member companies interested to participate in the event are requested to send their full payment confirmation along with the mandatory forms and company profiles in the requested format (enclosed) on jenny@chemexcil.in & shobha@chemexcil.in latest by 15th Sept., 2025. The stalls will be allocated on first come (Payment) first serve (Confirmation) basis.
